Developing an Online Tool for Measuring Volunteers personal and professional development

Where it all started
The National Health Service England (NHSE) and the University of Manchester (UoM) recognised the need for a tool to measure the personal and professional development of volunteers. Their primary objective was to create a survey tool that could be used internally by NHSE and shared with affiliated organisations. This tool would collect quantitative and qualitative data, assessing the impact of international work experiences on healthcare professionals, and focussing on key areas such as life satisfaction, work engagement, and well-being, engagement. The feedback gathered would then be visualised through graphs, providing clear and actionable insights that are easy to understand, process, and share.

Where we came in
NHSE and UoM had identified the questionnaires they wanted to use the key questions they aimed to answer with the collected data.
Our role was to integrate all these elements, developing a comprehensive tool to track personal and professional growth of volunteers, while ensuring confidentiality by not storing any personally identifiable information (PII). Additionally, we provided a platform for NHSE, UoM, and other organisations to analyse survey outcomes through customisable reports.
This involved:
- Incorporating the MOVE iT questionnaire (Measuring the Outcomes of Volunteering for Education), the validated UWES (Utrecht Work Engagement Survey), and the Life Satisfaction Survey.
- Developing customisable visual reports for both organisations and volunteers.
- Ensuring data anonymity while enabling users to compare results across different organisations.
What we delivered
Volunteer Portal
We developed a user-friendly portal where volunteers can:
- Create an account using a PIN and username.
- Complete surveys before and after their international work experiences.
- Learn from their own data and track changes in volunteering outcomes, work engagement, and life satisfaction across multiple experiences.
- Compare their results with average outcomes of other volunteers.
- Pause the survey and return to it later, ensuring flexibility and convenience.
Reports Generation
We implemented a robust reporting feature for admins and organisations allowing them to:
- Generate reports through a multi-step process, selecting specific questions, time frames, and comparisons with other organisations.
- Customise report aesthetics by choosing colours and uploading their logo.
- Download the report in PDF format.
- Additionally, admin users can export survey responses as stacked or unstacked CSV files for further analysis.
Admin Management
We provided comprehensive back-office functionality, enabling admin users to:
- Manage users and their permissions efficiently.
- Automatically grant NHS users access to the Organisations dashboard, with other users requiring admin approval.
Unique Aspects
Data Anonymity: We implemented unique PINs and usernames to maintain the anonymity of volunteer data, eliminating the need for email addresses and avoiding PII collection.
User Engagement: The tool features dynamic reporting and interactive elements to keep users engaged and motivated to complete their surveys.
Open Source: We designed the tool to be open source, allowing other organisations to use and build upon it while adhering to security and privacy best practices.
